Hatch is currently seeking a highly motivatedSenior Document Controllerto join our team in Katowice, Poland.
As a member of the Document Management team, you will support projects manage the full lifecycle of project documents using ShareCenter, Hatch’s suite of data-centric Information Management tools.
The Senior Document Controller is responsible for managing, tracking, and maintaining project documentation in compliance with Hatch’s standards.
This includes quality checking, registering, classifying, and distributing engineering and vendor documents using ShareCenter.
The role ensures accurate metadata and supports documentation handover to clients.
As the successful candidate, you will:
+ Assist all project functional groups with formatting, collating and quality checking project documentation within Hatch’s Electronic Document Management System (EDMS).
+ Ensure proper revision control, review processes, accurate classification, transmitting and compliance with Hatch standards for all project documentation managed within EDMS workflows.
+ Audit and review the accuracy of metadata in the EDMS.
+ Provide and distribute Design and Vendor reports, engineering progress reports and status expediting activities.
Key Responsibilities:
Planning & Setup:
+ Develop and implement the Document Management Plan.
+ Configure ShareCenter for document control and access.
+ Train internal and external stakeholders on document processes.
+ Define reporting requirements and migrate reference documents.
Execution & Control:
+ Maintain distribution matrices and manage document workflows.
+ Classify and distribute documents from external parties.
+ Manage access permissions and ensure timely document processing.
Closeout:
+ Support archiving and final handover of project documentation.
+ Participate in ShareCenter closeout activities.
Technical Tasks:
+ Use ShareCenter tools for document registration and metadata management.
+ Ensure quality control and compliance with standards.
+ Support external portals and client systems as needed.
Support:
+ Provide document control support to project teams and external users.
+ Respond to queries and assist in training other document controllers.
Qualifications & Experience:
You will bring to the role:
+ Ideally, a minimum of 8 years of experience in document control within engineering/construction project environments.
+ High attention to detail and accuracy
+ Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.)
+ Ability to multitask and adapt in a dynamic environment.
+ Experience working within a team.
+ Communication/interpersonal skills to build relationships with the immediate and remote team members
+ Ability to deliver planned and on-the-job document management training and support
+ Advanced written and spoken English proficiency is required.
